Privacy Policy

1. Introduction
This Privacy Policy describes how Sarthitech Private Limited (“Company”, “we”, “our”, “us”) collects, uses, stores, and protects information when you use:
- Trucksarthi mobile applications for fleet owners and for drivers (Android and iOS)
- Desktop web application
- Website
- Associated services and tools
(collectively referred to as the “Platform”).
For your own account, Sarthitech Private Limited is the Data Fiduciary under the Digital Personal Data Protection Act, 2023 — the organisation that decides why and how your personal data is used, and the one answerable to you for it.

2. Who This Policy Is About
Three different people appear in the Platform, and it matters which one you are.
- Fleet owners. You hold the account. We are the Data Fiduciary for your account details and for how you use the Platform.
- Drivers. You have your own login on the driver app. We are the Data Fiduciary for that login, your device, and your location while you have sharing switched on.
- People whose details an owner enters — drivers, clients, suppliers, vendors and their staff. Here the fleet owner is the Data Fiduciary and we are their Data Processor: we hold that data on the owner’s behalf and act on their instructions. If you want to know what a transporter holds about you, or want it corrected or erased, ask them. If you cannot reach them, write to us at grievance@trucksarthi.in and we will help you find them.
3. Information We Collect
3.1 Account Information
When creating an account or using the Platform:
- Name
- Phone number
- Email address
- Company details
- PAN number
- GST number
- Address
- Date of birth (if provided)
- Bank account details (if entered)
3.2 Business & Operational Data
Users may input:
- Truck details
- Driver details
- Client details
- Trip records
- Financial transactions
- Invoices and payments
- Expenses and maintenance records.
3.3 Documents Uploaded
Users may upload:
- Vehicle documents (RC, insurance, permits, etc.)
- Identity documents
- Financial or business documents.
3.4 Driver Data
Driver accounts may include:
- Name
- Phone number
- Aadhaar or identification information
- Driving licence details
- Expense entries.
Drivers only see limited information relevant to assigned tasks.
3.5 Device & Technical Data
We may collect:
- Device type
- Operating system
- IP address
- Usage logs
- Session information
- A push notification token, so we can send you alerts.
3.6 Authentication Data
To verify identity:
- OTP verification via email or SMS
- Biometric authentication (processed locally on your device; we do NOT store biometric data).
3.7 Location Data
The Trucksarthi Driver app collects precise device location (GPS), including while the app is running in the background or the screen is off, from drivers who have turned location sharing on. This is used to:
- Show the fleet owner the driver’s and truck’s real-time location, for dispatch, safety, and fleet coordination.
- Maintain a record of the driver’s stops and route for the day, viewable by the fleet owner.
Drivers can turn location sharing on or off at any time from the app’s Settings. Location data is only visible to the fleet owner the driver is linked to, and is not shared with any other party. It is never used for advertising.
3.8 App Usage, Crash Reports and Advertising Measurement
Only if you agree to it (see section 4), we also collect:
- Which screens you open and which actions you take in the app.
- Crash and error reports, including the technical state of the app when it failed.
- Your device’s advertising identifier, used to measure which of our advertisements led to installs.
3.9 Your Privacy Choice
We store the answer you gave to the privacy notice and the date you gave it, so that we can honour it and show that we asked.
4. Why We Are Allowed To Use It
The DPDP Act requires us to be clear about this, and the honest answer has two parts.
- Running the Platform is not a matter of consent. Your account, your trips, your ledgers, your invoices, the OTP that logs you in — these exist because you asked us to provide the service. We could not withdraw them and still be Trucksarthi, so we do not pretend to offer a choice about them.
- Everything optional is a matter of consent. App usage analytics, crash reporting and advertising measurement are asked for separately, in plain language, the first time you open the app. Saying no costs you no feature. You can change your answer at any time at Settings › Privacy › Analytics and advertising, and it takes effect immediately.
- Location sharing is a separate choice again, made by the driver, in the driver app, and reversible at any time.
We also process data where the law requires it — for example, keeping tax records, or responding to a lawful order.
5. How We Use Information
We use collected data to:
- Provide fleet management services
- Create and manage trips, invoices, and financial records
- Verify identity and prevent fraud
- Enable secure login and authentication
- Provide customer support
- Improve performance and user experience
- Send service notifications.
We do not use your business records to train machine-learning models, and we do not sell your data to anyone.
6. Third-Party Services
The Platform integrates with third-party providers:
- Cashfree — PAN, GST, and bank account verification, and payments made on our website
- Parivahan/Vahan APIs — vehicle information
- Zoho Zepto Mail — email OTP verification
- fast2sms.com — SMS OTP delivery
- Google Play and Apple App Store — subscription billing when you buy a plan inside the app
- Google Firebase — app analytics and crash reporting
- Sentry — error and crash diagnostics
- PostHog — product usage analytics (fleet owner app)
- Meta (Facebook and Instagram) — measuring how well our advertising works.
Information may be shared with these services solely to enable functionality.
The last four only receive anything if you have agreed to analytics and advertising measurement.
We do not control third-party data accuracy.
6.1 What we send to Meta for advertising measurement
So that we know which of our advertisements actually bring in customers, we tell Meta when someone books a demo call, installs the app, opens it, or starts a paid plan. We are specific about what this involves:
- Your name and phone number are hashed before they are sent — converted into an irreversible code, so Meta cannot read them. They are never sent in readable form.
- Technical details are sent as they are: your IP address, your browser or device type, Meta’s own advertising cookies if you have them, and your device’s advertising ID.
- We do not send any of your business records. No driver, client, truck, trip, ledger, invoice or document data ever goes to Meta.
None of this happens in the app unless you said yes to the privacy notice. On an iPhone you are asked a second time, by iOS itself, and both answers have to be yes. You can change your mind at any time: in the app at Settings › Privacy; on an iPhone also at Settings › Privacy & Security › Tracking; on Android by deleting or turning off your advertising ID in the system settings. On our website, any browser or extension that blocks advertising cookies will stop it.
7. Data Sharing
We do NOT sell user data.
Information may be shared:
- With third-party providers needed to operate features
- With the analytics and advertising partners named in section 6, if you have agreed to that, to understand how the Platform is used and to measure our advertising. Contact details sent for advertising measurement are hashed first, as described in section 6.1
- Between a driver and the fleet owner they are linked to, which is the point of the driver app
- To comply with legal obligations
- To prevent fraud or misuse.
We never share your business data with other transporters, lenders or competitors.
8. Where Your Data Is Stored
Your data is held on managed cloud infrastructure. Some of the service providers named in section 6 — Google, Meta, Sentry and PostHog among them — operate globally and may process data outside India in the course of providing their service. We do not transfer data to any country that the Central Government has restricted under the DPDP Act.
9. Data Security
We implement reasonable security measures including:
- Secure server hosting
- Encrypted communication (HTTPS)
- Access controls
- Authentication safeguards.
However, no system is completely secure.
10. How Long We Keep It
We keep personal data only as long as the purpose we collected it for is still being served.
- While your account is open: for as long as you use it. Your records stay put when a plan lapses, so nothing is lost if you come back.
- If a fleet owner deletes their account: you can do this from inside the app, at Settings › Delete account. The account and all its data are permanently deleted 72 hours after you confirm. You stay signed in for that whole time and the app shows a countdown, so you can stop it at any point before it happens.
- If a driver deletes their account: the login is deleted immediately. What a fleet owner holds about that driver stays in the owner’s account — see section 2.
- If the account goes unused: after one year with no login and no active plan, the account is marked for deletion and reviewed by our team, who then delete it and everything in it. We do not send a reminder first. Signing in at any point removes the mark.
Two things survive that, and only these: records we are legally required to keep, such as invoices and tax records held for the statutory period; and the minimum needed to show that the deletion happened.
11. Your Rights
Under the Digital Personal Data Protection Act, 2023 you have the following rights over your personal data, and you do not need a reason to use them.
- To know what we hold — a summary of your personal data, what we do with it, and who we have shared it with.
- To correct, complete or update it — most of this you can do yourself in the app; write to us for anything you cannot reach.
- To have it erased — see section 10.
- To withdraw your consent — for anything given by consent, as easily as you gave it. The analytics and advertising switch is in the app at Settings › Privacy.
- To nominate someone — you may nominate another person to exercise these rights on your behalf if you die or become unable to act.
- To complain — to our Grievance Officer, and, if we do not resolve it, to the Data Protection Board of India.
Write to grievance@trucksarthi.in from the email or phone number registered on your account. We will acknowledge within 48 hours and respond within 30 days. We may need to verify who you are first — that is to stop someone else obtaining your data.
If your data was entered by a fleet owner rather than by you, see section 2: the request goes to them, and we will help you reach them.
12. If There Is a Data Breach
If personal data we hold is exposed, lost or accessed without authority, we will tell you without delay — what happened, what data was involved, what it could mean for you, what we have done about it, and what you can do. We will also report it to the Data Protection Board of India within 72 hours, as the law requires.
13. Children’s Privacy
The Platform is intended for users aged 18 or older.
We do not knowingly collect data from anyone under 18. We do not track children, build profiles of them, or show them targeted advertising.
If you believe a child’s data has reached the Platform, write to grievance@trucksarthi.in and we will delete it.
14. Desktop Login via QR Code
Desktop access uses QR authentication.
Users are responsible for:
- Ensuring login sessions are secure
- Logging out from shared or public devices.
15. User Responsibility
Users are responsible for:
- Accuracy of information entered
- Legal validity of uploaded documents
- Protecting login credentials and devices
- Having a lawful basis for any other person’s data they enter — see section 5 of our Terms of Service.
16. Account Suspension
We may suspend or restrict access if:
- Terms are violated
- Fraudulent activity is suspected
- Security risks are detected.
17. Changes to This Privacy Policy
We may update this policy periodically. Where a change materially affects how we use your personal data, we will tell you in the app or by email before it takes effect, and ask again for anything that needs your consent.
